Manage reception - Handle all enquiries, required appointments and take messages. Manage the receiving and sending of E-mails. Allocating new extensions to employees and setting up their telephones, making sure all phones are working and adding extensions and creating speed dials on the bytes Alcatel Telephone system. Set up webex and voice conference facilities
Handling a tremendously busy switchboard of 487 internal lines, and 526 external and speed dial lines, taking messages timorously with the correct element of courtesy and effective communication both internally and externally. Updating the internal telephone directory timorously and distribute it to all staff members. Receive visitors professionally and ensure a positive front line function to Schneider Electric South Africa customers and visitors. Making sure the reception area is neat and tidy at all times. Assist with general administration tasks as and when required. Assisting staff with boardroom bookings and meeting requests and managing the online booking system. Sign in all parcels and manage all incoming and outgoing parcels. Liaising with cleaning staff to arrange refreshments for visitors in boardrooms and waiting area. Manage Faxing, post of documentation. Arrange Necessary training for All receptionists with TLO Development. Filing of all completed files and documents . Typing and generating of documents.
